Rolling out a POS update without disrupting every branch

Stage POS updates, check a pilot device group and schedule branch checks around trading hours and vendor limits.

Update a representative device group first, check the workflows staff rely on, then schedule remaining branches outside trading hours. Name who can pause the rollout and whom each store contacts when a check fails. List POS app, operating-system and payment-device updates separately because they may follow different paths.

Identify the devices and change

For each branch, record its POS device, app and operating-system versions, connected reader, printer and scanner, plus any extensions or integrations staff use. Check the vendor's current support guidance for the actual hardware and software versions before setting dates.

Shopify's mobile device management guidance treats POS app and operating-system updates separately. Square says software updates for Terminal, Register and Handheld can include device firmware and Square apps. Square Terminal first generation v1 stopped receiving software updates on 1 September 2025.

Pilot the trading workflows

Choose devices with the payment hardware and peripherals used elsewhere in the fleet. Record their starting versions.

After updating, check a card sale, cash sale, return, discount, receipt, barcode scan and each extension or integration the branch relies on. Include staff sign-in and a manager action. Record the device, version and result of each check.

Shopify recommends staged deployment through compatible mobile device management and similar workflow checks. Shopify says an updated Shopify POS app cannot be rolled back to an earlier version. If a required check fails, pause deployment to the remaining groups and seek support for affected devices. Do not use app rollback as the recovery plan.

Schedule each branch’s window

Give managers the local update time, affected device group, expected change, opening checks and support contact. Stagger branches so the support team can respond before the next group updates.

Shopify describes MDM groups and scheduling for managed iOS and Android devices, but controls vary by platform and MDM provider.

Square Terminal, Register and Handheld normally update overnight when plugged in, powered on and connected. Their automatic update time can be changed. A device is unavailable during an update, and Square says only the app currently logged in is updated.

Account for every device

Have each branch confirm installed versions and complete its opening checks. Record failures, affected devices, approved workarounds and the support owner. Close the rollout only when the intended devices and any exceptions have been accounted for.
