Checking payment terminal compatibility with a POS
Check the exact POS, terminal, payment account and transaction handoff before choosing an integrated or standalone EFTPOS setup.
Check the complete payment path: can the POS send the amount, can the terminal take the intended payment, and does the result return to the correct sale? A terminal may accept cards yet operate separately from the POS.
Confirm the exact POS version, terminal model, payment account and connection before committing to a setup.
Identify the payment arrangement
A supported reader works within its provider's POS and payment setup. An integrated terminal connects through a named POS integration. A standalone terminal processes payment separately, leaving staff to record the result in the POS.
Ask which arrangement the supplier is quoting; the word “compatible” does not answer that question.
| Arrangement | Documented example | Limit to confirm |
|---|---|---|
| Provider-supported reader | Shopify lists WisePad 3 for Canada and listed European countries; POS Terminal for Canada, the United States and listed European countries. Supported-reader transactions sync to orders. | Shopify Payments and store eligibility are required. |
| External terminal | Shopify POS supports use with an external card reader. | Check with the payment processor which card types the terminal accepts, and verify whether payment details or status are recorded in the POS. |
| Connected Square Terminal | Square Terminal can act as a customer-facing payment point for Square POS. | A mobile Square POS app connects to one Terminal at a time; Square Appointments and Square Invoice can't connect to Terminal on mobile devices. |
Do not assume one provider's reader works with another provider's POS. For a third-party integrated EFTPOS proposal, obtain the named integration and supported functions in writing for the exact POS and terminal versions.
Key Compatibility Requirements by Provider
- Shopify POS + External ReaderRequires Shopify Payments and store eligibility
- Square Terminal with Square POSMobile app connects to one Terminal only; not compatible with Square Appointments or Invoices on mobile
- Split Tender LimitationsUnavailable when Square Terminal is connected to Square POS and one payment is by card
- Recording External PaymentsCustom payment methods allow recording non-Square payments in Square POS, but do not mean POS processed them
Ask for a model-specific answer
Give the POS supplier and terminal provider the same specification: POS product and version, checkout device, terminal make and model, payment processor and merchant account, location, connection method, and any refund, split-payment, tipping or receipt requirements.
Ask each party who handles setup and faults.
Their answer should explain which system sends the amount, where approval or decline appears, and which reference staff can use to match the sale and payment.
If staff must enter an amount twice or mark an order paid manually, include that step in the counter procedure.
Check exceptions before opening
Request a demonstration on the proposed devices of an approved payment, decline and cancellation. Before retrying, inspect both the POS sale and terminal record. Ask how refunds are started and identified, whether the required split-payment path works, and which device produces the receipt.
A supported pairing may still have feature limits. Square says split tender is unavailable when Square Terminal is connected to Square POS and one of the payments is by card. This limit is specific to that connected setup.
Ask what staff should do if the POS and terminal lose their connection.
Square documents custom payment methods for recording non-Square payment sources in Square POS. Recording an external payment in a POS does not mean that POS processed it.
Keep the written compatibility answer and configured model numbers with the rollout record.
